Privacy Policy

This Privacy Policy explains how Clockedn (“Clockedn,” “we,” “us,” or “our”) collects, uses, shares, and protects information when you use Clockedn (the “Service”), including our website, Chrome extension, and related products and services.

If you do not agree with this Policy, do not use the Service.

1) Who we are

Some privacy laws use terms like “controller” (EU/UK) or “business” (California). In general, Clockedn is the controller/business for platform-level account and product operations, and workspace owners (hirers) are controllers/businesses for data collected in their workspace, as described below.

2) Key concepts (important for workspaces)

Clockedn is used in workspaces managed by hirers/admins. If you are a worker, your activity and information in a workspace (like time entries and screenshots, if enabled) may be visible to your workspace admins.

Workspace data responsibility

  • Hirers/admins control workspace settings (including whether screenshots are enabled), invite members, and decide how workspace data is used.
  • Workers should review any workplace notices or agreements provided by their hirer.
  • Clockedn provides the tools; hirers are responsible for providing legally required notice/consent for monitoring and screenshots where applicable.

3) Information we collect

We collect information in three main ways: (A) you provide it, (B) it is collected automatically through use of the Service, and (C) it comes from third parties.

A) Information you provide

  • Account information: name, email, profile photo/avatar (e.g., from Google sign-in), display name
  • Workspace information: workspace name, membership details, worker/hirer role
  • Settings and preferences: timezone, notification preferences, screenshot settings (workspace-level)
  • Marketplace profile (optional): headline, bio, skills, rate, availability, portfolio links, and “public profile” toggle
  • Support communications: messages you send us, bug reports, feedback

B) Information collected automatically

  • Usage and device data: pages viewed, features used, approximate location (derived from IP), browser type, device identifiers, log files, timestamps
  • Authentication/security data: login events, suspicious activity signals, cookie/session data
  • Time tracking data: time events (start/pause/idle/stop), time entries (including manual entries and approvals), totals and summaries
  • Screenshots (optional): if screenshots are enabled in a workspace, the extension may capture screenshots during tracking sessions and upload them to the Service
  • Extension operational data: pairing status, extension version, error logs related to tracking/screenshot uploads

C) Information from third parties

  • Authentication providers: if you sign in via Google, we receive basic account data (like email, name, profile image) according to your Google settings
  • Wise (if connected): status signals about transfers (e.g., created/processing/completed/failed) and related identifiers needed to display status
  • Payments/billing providers (if used): subscription status, billing identifiers, and payment confirmation (we generally do not store full card details)

4) Screenshots and sensitive information

If screenshots are enabled, screenshots may capture confidential or sensitive information visible on screen (emails, customer data, passwords shown on screen, health/financial information, etc.).

  • Hirers should only enable screenshots if appropriate and lawful.
  • Workers should avoid displaying sensitive information while tracking where feasible.
  • Clockedn does not intentionally request or require you to upload sensitive data, but it may be captured incidentally via screenshots.

5) How we use information

We use information to:

  • Provide, operate, and maintain the Service (time tracking, screenshots, dashboards, payroll summaries)
  • Authenticate users and manage accounts/workspaces
  • Improve product performance, reliability, and user experience
  • Provide customer support and respond to requests
  • Prevent fraud, abuse, and security incidents
  • Comply with legal obligations
  • Facilitate marketplace discovery (only for workers who opt into public profiles)
  • Administer subscriptions and featured/sponsored placement (if applicable)

6) How information is shared

We share information in the following circumstances:

A) Within your workspace

If you are a worker, your workspace admins may be able to view:

  • time events, time entries, and totals
  • approvals/denials of manual entries
  • screenshots (if enabled)
  • basic profile info used to identify you in the workspace

B) Service providers (processors)

We use third-party vendors to help run the Service (for example hosting, analytics, error logging, email, databases/storage). They process data on our behalf under contracts.

C) Third-Party Services you choose

  • Wise: If you connect Wise, relevant data is shared with Wise to initiate/track transfers, and status data may be shared back to us so we can display it.
  • Google sign-in: Authentication uses Google; information is exchanged as part of login.

D) Legal, safety, and rights protection

We may disclose information if required by law, subpoena, or legal process, or to protect rights, safety, and security.

E) Business transfers

If we are involved in a merger, acquisition, financing, or sale of assets, information may be transferred as part of that transaction.

We do not sell your personal information.

7) Cookies and tracking technologies

We use cookies and similar technologies to:

  • keep you logged in and maintain sessions,
  • remember preferences,
  • improve security,
  • measure usage and performance.

You can control cookies through your browser settings. Some features may not work properly if cookies are disabled.

8) Data retention

We retain data for as long as necessary to provide the Service and for legitimate business purposes, including:

  • maintaining workspaces and historical records,
  • resolving disputes,
  • enforcing agreements,
  • complying with legal obligations.

Workspace admins may control retention within their workspace (for example, deleting a worker or removing access). Some data may remain in backups for a limited period.

Screenshots: Screenshots are retained until deleted by the workspace or account owner, or until required by law to be removed. Configurable retention periods are not currently available but may be introduced in a future update.

9) Security

We use reasonable administrative, technical, and organizational safeguards designed to protect information. However, no method of transmission or storage is 100% secure, so we cannot guarantee absolute security.

10) Your choices and rights

Depending on where you live, you may have rights to:

  • access your personal information,
  • correct inaccuracies,
  • delete your information,
  • object or restrict certain processing,
  • request data portability.

For workers in a workspace

If your data is controlled by a workspace hirer/admin (e.g., screenshots/time records in that workspace), you may need to contact your workspace admin first. You can also contact us, and we'll help route the request when applicable.

Marketplace profile controls

Workers can toggle whether their marketplace profile is public. If you turn off public visibility, it will no longer be shown publicly, though some caching delays may apply.

11) International data transfers

If you access the Service from outside the United States, your information may be processed and stored in countries where we or our service providers operate. We take steps intended to ensure appropriate safeguards for such transfers where required.

12) Children's privacy

Clockedn is not intended for children under 13 (or the minimum age required by your jurisdiction), and we do not knowingly collect personal information from children. If you believe a child has provided information, contact us and we will take appropriate action.

13) Platform admin / Owner Console access

Clockedn may provide privileged administrative tools for platform operations (e.g., support mode, audit logs, remediation actions). When used, these tools may access workspace data to:

  • investigate bugs or incidents,
  • provide support,
  • prevent fraud/abuse,
  • comply with legal obligations.

We log certain administrative actions for security and accountability.

14) Changes to this Policy

We may update this Privacy Policy from time to time. If we make material changes, we will update the “Last updated” date and may provide additional notice through the Service.
